Here you will find useful information about documentation, practical tips and comparative data on transport modes.
Documentation for International Trade Shows
📝 ATA Carnet
The ATA Carnet is an international customs document that allows temporary import of goods without paying duties. It is especially useful for trade shows as it greatly simplifies customs procedures.
Valid in over 80 countries and with a validity of 1 year, it is the ideal solution for regular exhibitors.
📄 Pro Forma Invoices
Document that simulates a commercial invoice but without fiscal value. It is used to declare the value of goods to customs without making an actual sale.
Essential for shipments of demonstration materials or samples without commercial value.
🏛️ Certificates of Origin
Document that certifies the origin of goods. Some countries require it mandatorily for temporary import.
Issued by Chambers of Commerce and especially important for countries outside the EU.
Tips for Exhibitors
- 1. Plan ahead: Book your transport at least 4-6 weeks in advance. This will allow you to choose the most economical mode and avoid surcharges for urgency.
- 2. Prepare documentation: Make sure you have all necessary documentation (ATA Carnet, pro forma invoices, content list) well in advance. Customs problems are the main cause of delays.
- 3. Pack correctly: Use resistant packaging suitable for international transport. Clearly label each package with stand data, show and responsible person.
- 4. Contract insurance: Even if your materials are well packed, unforeseen events can occur. Cargo insurance will give you peace of mind throughout the process.
- 5. Coordinate with organizer: Find out about cargo reception schedules at the exhibition venue, authorized handling companies and specific assembly/disassembly rules.
- 6. Plan the return: Don't forget to organize the return transport of your materials. Many companies focus on the outbound journey and leave the return for the last moment, generating additional costs.
